For accountancy practices
Clean MTD records from your clients’ paperwork
ToggleKit turns your sole trader and landlord clients’ receipts, bank statement PDFs and spreadsheets into reviewed, categorised records, ready for their Making Tax Digital for Income Tax quarterly updates. You keep the client relationship and you make the submission.
We are running free pilots with a small number of UK practices ahead of the 7 February 2027 quarterly update.
What you get back for each client and quarter
- Every transaction categorised into HMRC's categories for self-employment or UK property income, in a workbook with totals by category. Where we have agreed the format before the pilot starts, we also produce an import file for your MTD software.
- Bank transactions reconciled to each statement's opening and closing balances, with any difference reported.
- Anything we cannot categorise with confidence, flagged for your judgement rather than guessed.
- A list of missing or unclear records, with draft requests you can send to your client.
- Delivery at least 10 working days before the update is due.
How it works
- 1We sign a short pilot and data processing agreement, and we check your practice's anti-money laundering supervision on your supervisor's public register.
- 2You choose one or two clients and share their records through a secure folder restricted to named people. Your clients deal only with you.
- 3We extract the transactions, suggest a category for each one and reconcile the bank statements. A person reviews every line before anything comes back to you.
- 4You receive the categorised records, the reconciliation, the list of missing records and the draft requests.
- 5You review the records, apply your judgement and submit the update to HMRC.
- 6Within 14 days of the pilot ending we delete your clients' data, returning it to you first if you prefer.
What we do not do
- Give tax advice or make judgements that belong to you.
- Submit anything to HMRC or act as anyone's tax agent.
- Contact your clients.
- Hold or move client money.
- Take on sole traders or landlords directly for this service.
- Use your clients' data to train AI models.
How client data is handled
- Your practice is the controller and we are your processor under Article 28 of the UK GDPR. The agreement sets out the processor terms in full, including every sub-processor.
- Records are exchanged through a secure Zoho WorkDrive folder, not as email attachments. They are stored in our business Zoho account in its EU data centre, and we work on them only on an encrypted device.
- Every account holding client data uses multi-factor authentication, and data is encrypted in transit and at rest.
- The AI service we use runs in EU data centres with zero data retention: nothing we send it is stored, and none of it is used to train models. Where practical, account and card numbers are masked to the last four digits before a document is read by an AI service.
- A person reviews every categorisation.
- We delete your clients' data within 14 days of the pilot ending, and from routine backups within 35 days.
- We tell you within 24 hours of becoming aware of a personal data breach affecting your clients' data.
ToggleKit Ltd is registered with the Information Commission (formerly the ICO), reference ZC093090 (opens in new tab). Our privacy notice covers the personal data we hold as a controller.
Anti-money laundering
We work only for accountancy practices that are supervised for anti-money laundering purposes by HMRC or a professional body.
During pilots we act as each practice’s subcontractor. We rely on HMRC’s exemption for businesses whose customers are all supervised accountancy service providers, and we meet its conditions:
- Every customer is a supervised practice, checked on its supervisor's register before any work starts.
- We do not deal directly with a practice's clients.
- The practice includes us in its own anti-money laundering policies, controls, suspicious activity reporting and training.
- A written agreement confirming this is signed before any records are shared.
We will register with HMRC for anti-money laundering supervision before we charge any practice, take on a customer that is not a supervised practice, or need to deal with a practice’s clients directly. See HMRC guidance on accountancy service provider registration (opens in new tab).
Questions
- Which software do you work with?
- We produce an import file for the MTD software or bridging tool your practice uses. Tell us which one and we will confirm before the pilot starts.
- What happens after the pilot?
- Pilots are free and there is no obligation to continue. If you want to carry on, we agree separate written terms.
- Who will I deal with?
- Ben Morton, ToggleKit's director, who does the work himself.
